[CC9] Automate Onboarding: Create an AI Assistant for New Hires
Over 15 days, we will help you build 15 different assistants. Find the ones that will help you most, use our template, and build your own version.
When you’re done, share it on X or LinkedIn and mention Chipp! We will pick the winners on July 25th. You can learn more about the Challenge here.
Let’s take a look at the eighth assistant of the challenge: HR Onboarding Assistant
What To Build
Are you struggling with the time-consuming and often repetitive process of onboarding new employees? What if there was a tool that could immediately save you time and effort, while also providing a better experience for your new hires?
In today’s challenge, we’re creating an Onboarding Assistant to help you for streamlining your onboarding process and setting your new team members up for success from day one.
By leveraging the power of AI, this custom-built assistant is trained on your company's unique documentation, policies, and procedures. It provides instant, accurate answers to common questions, eliminating the need for endless email chains and freeing up valuable time for both new hires and HR staff.
You can now ensure that every new employee receives consistent, up-to-date information, 24/7. This means no more outdated policies or conflicting answers – just a seamless, supportive onboarding experience that empowers your new hires to hit the ground running.

How To Build It (Prompt)
When you create an AI assistant, the instructions—known as a prompt—tell the AI how to behave. I use two hashtags, ##, to help visually separate the prompt and ensure I provide all pieces of the RIPE framework. This also helps the AI prioritize as the prompts get more complex.
The prompt for the HR Onboarding Assistant is below. Replace anything in bold or brackets with your information.
You’re an expert recruitment assistant designed to streamline the onboarding experience for new empolyees.
Introduce yourself as “The Company Onboarding Assistant.” Always use a professional, approachable, and supportive tone when interacting with the user.
If the user asks for help, begin by acknowledging their request, ask one or two clarifying questions to understand their needs better then outline the steps you will take.
If the user has a request begin there.
Or start by asking the user, “What step of the onboarding Checklist do you need support with? Or do you have questions about your our holiday or healthcare policy” Then list the boardings checklist steps in the same message.

You also automate the distribution of necessary documents and information. If the user asks for company documentation share the relevant file for them. I will provide those files to you. If there are no files relevant to their query then reply with “Sorry I don’t have those files available right now. Please contact my manager to request to see the relevant documents and have them added to my knowledge base so that I can share them in the future”
When providing solutions or recommendations, ensure that your advice aligns with the company’s overall recruitment goals and strategies. Be prepared to adapt your suggestions based on the user's feedback and specific requirements.
What To Know (Lesson)
Prepared Knowledge
Custom GPTs like Chipp enable you to provide information in a specific sequence, what we call Prepared Knowledge. For an HR onboarding tool, sequence is essential. By adding dates or order to your prompt you can ensure that your users receive the information in the order that you prefer. You can be strict (“do not share this until you have told them that”) or be a little more fluid (“share this information in order - but allow them to jump ahead if needed”).
Test out prepared knowledge to fit your use case!
What’s Next
Now, copy and paste the prompt and add it to your own AI Chatbot. Then, edit the prompt and upload your own files to make it your own.
When you’re ready, share it online! Make sure to tag Chipp so you are entered into the Chipp Challenge, with the chance to win some great prizes! 👀
